POSITION TITLE: Secretary of Plant Services and Employee Attendance
QUALIFICATIONS:
- High School diploma/GED required.
- One year of related experience within an office/school environment preferred.
- Basic knowledge of computer applications such as Word, Access, Excel, Power
Point and Outlook
- Strong communication skills with emphasis on ability to communicate effectively in both oral and written form with employees, parents, students, and general public in the performance of daily operations.
- Minimum 60 wpm typing speed preferred.
- Able to manage multiple priorities and to work independently.
- Demonstrate strong organizational and logistic skills in day to day operations and long range planning.
- Ability to operate equipment necessary for the performance of job duties such as PC, printer, fax machine and copier.
- Ability to operate computer software packages such as Microsoft Office and student management systems.
- Excellent customer service skills
- Ability to prioritize tasks, meet deadlines and work under pressure
- Ability to work as part of a team
- Ability to be flexible and perform other tasks as assigned
REPORTS TO: Plant Services Director/Asst. Dir. of Plant Services/Director of Human Resources
ACCOUNTABILITY OBJECTIVE:
This position is responsible for providing administrative support to the Plant Services Director. The work involves confidential and personal matters. The Secretary should be able to use independent judgment in determining various issues that do not involve major deviations from established policy or procedure. Responsibility for varied public contacts is a very important part in this position. The Secretary should understand the department’s needs and anticipate/respond accordingly.
PERFORMANCE ACCOUNTABILITIES:
- Type all correspondence, process mail, screen and direct calls, and perform general office functions for the Plant department.
- Maintains an up-to-date roster for all Plant Services Division employees.
- Prepares purchase orders and coordinates requests for purchasing and processing.
- Prepares a daily absence sheet and weekly activities list.
- Maintains accurate and up-to-date files and office records.
- Operates various machines such as faxes, copiers etc. as needed.
- Process work orders through Help Desk.
- Assists in opening, checking and proper distribution of supplies.
- Process leave of absences forms and enter absences for district staff in absence management system. (Frontline)
- Process all employees call offs and assist administrators with placement of substitute employees.
- Administer all aspects of the Frontline/AESOP system and employee absences.
- Performs other secretarial related duties as assigned by the Plant Services Manager, including photo copying support.
- Prepare monthly committee agenda, attend monthly committee meeting and complete committee minutes.
